13.2     Code 1 Errors

Every change or addition to an employer's address (lines 4, 5 and/or 6) is also processed through Code 1, which verifies the address according to post office standards. If the address conforms to Code 1, Code 1 assigns a 9 digit zip code which will permit barcoding and a postage discount on outgoing TWC mail.

If Code 1 is unable to locate the address in its database, the account number, name and address will appear on the "Status Code-1 Address Reject List" and sent to Status Determinations Support as part of the daily Tax run for investigation and correction. Status Determinations Support will use this Code 1 reject list and various types of research to determine a valid address for the employer.

Determining a US Postal Service approved address requires several steps. The first step for Status Determinations Support is to visually examine the rejected address for obvious errors such as misspellings or spelling two words as one word. If an error is discovered, make the correction on the SNC screen and key the 5 digit zip code in the zip field. If a 5 digit zip is keyed, Code 1 will add the 4 additional digits if the address now conforms to its standards.

13.2.1     G1CP Usage

If a visual search does not reveal why the address was rejected, the next step is to utilize G1CP, the on-screen Code 1 directory of US addresses. To access G1CP, use the following process:

  1. Move the cursor to the lower left corner of the "Application & Selection" menu.

    Key G1CP.

    Press <Enter>. Code-1 Plus will display.

  2. Move the cursor to the line "Primary Addr".

    Key the employer address.

    Move the cursor to the "City, St" line.

    Key the employers city and state. It is not necessary to key a zip code.

    Press <Enter>.

    If Code 1 is able to match the address, it will make minor corrections and display the address styled correctly and the 9 digit zip code in the "Matched Addr" field. Write the Code 1 corrections on the printout and proceed to the next address. If Code 1 was unable to match the address, the "Matched Addr" field will remain blank and further investigation will be necessary.

To access the city for the rejected address:

  1. Move the cursor to the "Command" area.

    Key L (for locate) space City Name.

    Press <Enter> (for example L Houston, press <Enter>). A list of all US cities with that name will appear, in alphabetical order of state name. To display additional cities with the same name, press PF7 to page backward or PF8 to page forward.

  2. To select the city that you wish to access:

    Key the line number on which the city is displayed in the "Command" area.

    Press PF4. Addresses for the city will display with P. O. Boxes and rural routes listed before an alphabetic list of street names.

  3. Street names can be found either by paging forward (PF8) or by keying L space bar and the street name (for example, L Congress Ave) and press <Enter>. Street names will display in alphabetical order. If the requested street name does not appear, try different forms of the name. For example, instead of Hwy 290 try Highway 290, US Hwy 290, etc. to locate the proper Code 1 styling.

  4. After the correct street is located, to determine if a block number is valid:

    Key the line number of the street in the Command area and press PF4.

    Block numbers not displayed can be found either by paging or by keying L and the block number in the Command area.

  5. To return to the street or city directories, press PF6.

  6. To search for the next address,

    Key the necessary information in the "Primary Addr" and "City St" fields and repeat the process.

  7. To exit and return to the Application & Selection Menu, press PF3 and then PF1.

  8. After a valid Code 1 address is determined, key the changes on the SNC screen with a 5 digit zip code. (See procedure for Address Changes and Inactivations).

13.2.2     No Valid Address Found on G1CP

If a valid Code 1 address is not found using G1CP, Status Determinations Support will contact the employer or the local post office for further information.

  1. Status Determinations Support will call the employer using the employer's telephone number shown on the Status Master Record.

  2. If no telephone number is shown on the Status Master Record, Status Determinations Support will conduct an Internet search to obtain the number.

  3. After a telephone number for the employer is obtained, Status Determinations Support will contact the employer and request clarification of the employer's address.

  4. If the employer provides a valid US Postal Service address, key the correct address on the SNC screen.

  5. If the employer cannot provide a valid address, Status Determinations Support will conduct an Internet search for the telephone number of the local post office.

  6. Status Determinations Support will contact the employer's local post office, identify the reason for the call, and request assistance in determining a valid US Postal service address for the employer.

  7. After a valid Code 1 address is determined, key the changes on the SNC screen with a 5 digit zip code. (See procedure for Address Changes and Inactivations).
